These Terms and Conditions (“Terms”) govern your access to and use of CaseTrackr, operated by [Company Legal Name] (“CaseTrackr”, “we”, “us”, or “our”).
By accessing, registering for, or using CaseTrackr, you agree to these Terms. If you do not agree, you must not use the service.
1. About CaseTrackr
CaseTrackr is a digital case diary and office management tool for advocates, lawyers, law chambers, and small legal offices.
CaseTrackr helps users manage clients, cases, hearing dates, tasks, documents, fee records, chamber users, client follow-ups, WhatsApp-ready update messages, subscription records, and billing records.
CaseTrackr does not provide legal advice, legal research, legal opinions, court filing, eCourt synchronization, judgment search, or official court data verification.
2. Eligibility
You may use CaseTrackr only if you are legally capable of entering into a binding agreement, are an advocate, lawyer, law office, authorized chamber user, authorized representative of a legal practice, or otherwise authorized to use the service, provide accurate registration and billing information, and comply with these Terms and applicable law.
3. Account Registration
To use CaseTrackr, you must create an account. You agree to provide accurate information, keep login credentials confidential, use a secure password, notify us of unauthorized access, and ensure chamber users use the account responsibly.
You are responsible for all activity under your account and organization.
4. Organizations and Chamber Users
CaseTrackr supports organization or law chamber accounts. The organization owner/admin may add chamber users and assign roles such as advocate, clerk, accounts user, or viewer.
The organization owner/admin is responsible for deciding who gets access, assigning correct roles, removing users who no longer need access, ensuring chamber users comply with professional and confidentiality obligations, and all records entered by chamber users.
5. User Data and Responsibility
You retain responsibility for the client, case, hearing, document, fee, and other data you enter into CaseTrackr.
You represent that you have authority to enter and process such data, your use of CaseTrackr does not violate client confidentiality, professional obligations, or applicable law, uploaded documents and records are lawful and relevant to your practice, and you will not upload illegal, harmful, infringing, or unauthorized material.
6. No Legal Advice
CaseTrackr is a software tool only.
CaseTrackr does not provide legal advice, verify court records, replace official court websites or records, replace advocate judgment, guarantee case outcomes, file cases or documents in court, or provide legal research or legal opinions.
Any decisions made based on records stored in CaseTrackr are the responsibility of the advocate, law office, or authorized user.
7. Court Records and Hearing Dates
Users are responsible for verifying hearing dates, orders, case status, and court information from official sources.
CaseTrackr may help store and organize information, but it does not guarantee that any date, case status, or court record is complete, accurate, or current.
8. WhatsApp-Ready Messages
CaseTrackr may generate copy-ready messages or wa.me links for user convenience.
CaseTrackr does not send WhatsApp messages automatically unless a specific integration is introduced later. Users are responsible for reviewing all messages before sending them to clients or others.
9. Client Status Links
CaseTrackr may allow organizations to share limited case status information through secure client links.
The organization is responsible for enabling or disabling such links, deciding what information is visible, ensuring that shared information is appropriate, and protecting links from unauthorized sharing.
CaseTrackr is not responsible for disclosure caused by users sharing links with the wrong person.
10. Subscriptions and Payments
CaseTrackr may offer free, trial, manual, paid, or custom subscriptions. Subscription plans may include limits such as number of users, number of active cases, storage, features, and support level.
By purchasing a subscription, you agree to pay the applicable fees. Payments may be processed through third-party payment providers such as Cashfree. Payment provider terms may also apply.
11. Subscription Activation
For online payments, subscription activation may depend on successful payment confirmation from the payment provider.
CaseTrackr may verify payment status through server-side checks, payment gateway responses, and webhooks. A payment success screen or redirect alone may not be treated as final confirmation if the payment provider has not confirmed the transaction.
12. Renewals and Expiry
Subscriptions may be annual, monthly, manual, recurring, or custom depending on the plan.
If a subscription expires or payment fails, we may show reminders, restrict certain features, place the account in payment pending, expired, or past due status, allow limited grace-period access at our discretion, or suspend access after notice where appropriate.
13. Refunds
Refunds are governed by our Refund Policy. Please review the Refund Policy before purchasing a subscription.
14. Acceptable Use
You agree not to access another organization’s data without authorization, attempt to bypass security or role permissions, misuse client status links, upload malware or harmful files, reverse engineer, copy, or resell the platform, use the service for illegal activities, overload, disrupt, or attack the service, scrape, crawl, or extract data without permission, impersonate another person or organization, or use CaseTrackr to send spam or unauthorized communications.
15. Data Security
We take reasonable measures to protect user data, but no system is completely secure.
You are responsible for securing your login credentials, limiting chamber user access, using trusted devices, logging out from shared devices, maintaining accurate chamber user roles, and informing us of suspected unauthorized access.
16. Backups and Data Loss
We may maintain backups for operational continuity. However, users should not treat CaseTrackr as the only copy of critical legal records. Users are encouraged to maintain independent backups of important documents and records where appropriate.
We are not liable for loss caused by user deletion, incorrect entry, unauthorized chamber user action, device compromise, or third-party service failure, except as required by law.
17. Service Availability
We aim to keep CaseTrackr available and reliable. However, the service may be unavailable due to maintenance, updates, technical failures, hosting issues, payment provider downtime, internet/network issues, security incidents, or events beyond our control.
We do not guarantee uninterrupted or error-free service.
18. Third-Party Services
CaseTrackr may use third-party services for payment processing, email delivery, hosting, storage, analytics, error monitoring, and support tools.
We are not responsible for failures, delays, or actions of third-party providers beyond our reasonable control.

20. Feedback
If you provide suggestions, ideas, or feedback, you allow us to use them to improve CaseTrackr without obligation to compensate you.
21. Suspension or Termination
We may suspend or terminate access if fees are unpaid, the account violates these Terms, security risk is detected, unlawful activity is suspected, required by law, or the service is misused.
Users may request account closure by contacting support. Certain billing, legal, backup, or audit records may be retained as required by law or legitimate business needs.
