This Privacy Policy explains how CaseTrackr, operated by [Company Legal Name] (“CaseTrackr”, “we”, “us”, or “our”), collects, uses, stores, and protects personal information when users access our website, web application, and related services.

CaseTrackr is a case diary and office management tool for advocates, lawyers, law chambers, and small legal offices. CaseTrackr does not provide legal advice and does not replace advocate judgment or official court records.

By using CaseTrackr, you agree to the practices described in this Privacy Policy.

1. Information We Collect

We may collect the following types of information:

a. Account Information

  • name
  • email address
  • phone number
  • password in encrypted/hashed form
  • organization/chamber name
  • role within the organization
  • login and account activity details

b. Organization and Chamber User Information

  • law chamber or office name
  • billing/contact details
  • chamber user details
  • user roles and permissions
  • subscription plan and billing status

c. Case and Client Data Entered by Users

Users may enter and upload legal-office records, including client names and contact details, case titles and case numbers, court names, parties and case stages, hearing dates and notes, tasks and follow-ups, fee records, documents uploaded under cases, and client update messages.

This information is entered and controlled by the subscribing advocate, chamber, or organization.

d. Billing and Payment Information

For subscriptions and payments, we may collect billing name, billing email, billing phone number, billing address, selected plan, invoice/payment status, and payment provider reference IDs.

Online payments may be processed through third-party payment providers such as Cashfree. We do not store full card numbers, UPI credentials, net banking passwords, or other sensitive payment authentication details on our servers.

e. Technical and Usage Information

We may collect IP address, browser type, device information, pages visited, login time, error logs, security logs, approximate location derived from IP address, cookies, and session data.

2. How We Use Information

We use information to create and manage user accounts, provide case diary, client, hearing, task, document, fee, and chamber user access features, maintain organization-level access control, process subscriptions and billing, send service-related emails such as login, password reset, billing, and subscription reminders, improve product performance and security, prevent fraud, abuse, or unauthorized access, provide customer support, and comply with applicable law.

3. Legal and Client Data

CaseTrackr stores information entered by advocates, law chambers, and their authorized users. This may include confidential legal-office information.

The subscribing organization is responsible for ensuring it has the right to enter client and case data into CaseTrackr, managing chamber user access responsibly, deciding what information is uploaded, deciding what information is shared with clients through status links, and maintaining professional obligations applicable to advocates and legal practitioners.

CaseTrackr provides software infrastructure and does not review, verify, or provide legal opinions on the data entered by users.

4. Organization-Level Data Separation

CaseTrackr is designed with organization-level data separation. Users belonging to one advocate office, chamber, or firm should only access records belonging to their own organization.

We use role-based access controls and organization-scoped data access to help prevent unauthorized access between organizations.

5. Chamber Users and Permissions

Organization owners or admins may add chamber users such as advocates, clerks, accounts users, or viewers.

The organization owner/admin is responsible for inviting appropriate users, assigning suitable roles, removing chamber access when no longer required, and ensuring users use the system responsibly.

6. Client Status Links

CaseTrackr may provide secure client status links. These links are intended to show limited case status information selected by the organization.

Client status links should not show private notes, internal chamber user assignments, or documents unless explicitly marked as client-visible by the organization.

7. Documents and File Uploads

Uploaded documents are treated as private by default unless the organization chooses to make specific documents visible through permitted features.

We do not intentionally expose raw file paths to public users. Access to documents is controlled through authentication or approved secure links.

8. Cookies and Similar Technologies

We may use cookies and similar technologies to maintain login sessions, protect against CSRF and security attacks, remember user preferences, improve website performance, and analyze basic usage.

Users can control cookies through browser settings, but disabling cookies may affect login or application functionality.

9. Progressive Web App and Caching

CaseTrackr may be installable as a Progressive Web App.

For security, the service worker should cache only safe static assets such as CSS, JavaScript, icons, and offline pages. CaseTrackr does not intentionally cache confidential client, case, hearing, fee, document, billing, or organization data for offline use in the MVP.

10. Sharing of Information

We do not sell user data.

We may share limited information with payment service providers for subscription billing, email service providers for transactional emails, hosting, storage, and infrastructure providers, analytics/error monitoring providers if used, legal, regulatory, or government authorities when required by law, and professional advisors where necessary.

Each third-party service provider may process information according to its own terms and privacy practices.

11. Payment Processing

Payments may be processed through Cashfree or another approved payment provider.

Payment-related information is processed to create payment orders, verify payment status, update subscription status, process refunds where applicable, and maintain billing records.

CaseTrackr does not control bank, card network, UPI, or payment provider processing delays.

12. Data Security

We use reasonable technical and organizational measures to protect data, including login-based access, password hashing, CSRF protection, organization-level filtering, role-based access, secure file access patterns, environment-based secret configuration, limited caching of sensitive data, access logs, and security monitoring where applicable.

No internet-based service can guarantee absolute security. Users should use strong passwords, protect their devices, and restrict chamber user access carefully.

13. Data Retention

We retain information for as long as needed to provide the service, maintain account and billing records, comply with legal obligations, resolve disputes, prevent fraud or abuse, and maintain backups for a limited period.

Organizations may request deletion or export of their data, subject to technical feasibility, legal obligations, and backup retention practices.

14. User Rights and Requests

Depending on applicable law, users may request access to personal information, correction of inaccurate information, deletion of certain information, withdrawal of consent where applicable, and grievance redressal.

15. Children’s Data

CaseTrackr is intended for use by advocates, legal offices, and authorized chamber users. It is not intended for use by children.

Users should not enter children’s personal data unless it is necessary for legitimate legal-office case management and they have authority to do so.

16. International Data Processing

Depending on hosting and service providers, data may be processed or stored in India or other locations. We take reasonable steps to ensure appropriate safeguards where required.

17. Changes to this Privacy Policy

We may update this Privacy Policy from time to time. Updated versions will be posted on this page with a revised “Last updated” date.

Continued use of CaseTrackr after changes means you accept the updated policy.
